Policies & Terms

Everything you need to know about our policies

1. Weather-Related Cancellations

At To-Gather Outdoors, we use a science-based approach to safety. We monitor Environment Canada forecasts and will cancel or modify tours if any of the following "No-Go" zones are reached:

⚡ THUNDERSTORMS

Any 40% (or higher) forecast of lightning or if active strikes are within 20km of the trail.

🌡️ SEVERE HEAT

We cancel if the Humidex reaches 40°C or higher. At this level, the risk of heatstroke during physical exertion is high.

Note: Between 35°C and 39°C Humidex, we may shorten the route or move to a more shaded trail.

❄️ EXTREME COLD

A "Real Feel" (wind chill) of -20°C or colder.

💨 HIGH WINDS

Sustained winds of 40 km/h or gusts of 60 km/h. This is to protect you from falling branches ("widowmakers").

🌫️ AIR QUALITY

An index (AQHI) of 7 or higher.

2. Punctuality & Late Arrivals

To respect the time of all our hikers and stay on schedule for trail safety, we operate on a strict departure timeline:

Arrival: Please arrive at the designated meeting point 15 minutes before the scheduled start time for check-in and safety briefings.

Grace Period: We allow a maximum 15-minute grace period for late arrivals.

3. Minimum Participant Policy

Our adventures are best shared! We require a minimum of 2 participants to run a tour.

If you are the only one booked 48 hours before the start, we may cancel.

4. Flexibility & Destination Changes

Sometimes a park closes a trail last minute due to flooding or maintenance.

We reserve the right to change the destination to a nearby trail of similar difficulty and beauty.

5. Participant Cancellations

If you can't make it, please let us know early:

7+ Days Notice

Full refund (minus a $10 admin fee).

2 to 7 Days Notice

50% refund or 100% credit for a future tour.

Under 48 Hours

No refund or credit.

6. The "Right to Refuse" (Gear & Safety)

To ensure the safety of all participants, our guides reserve the right to deny participation to any individual who arrives without the appropriate equipment required for the day's conditions (e.g., proper hiking footwear, seasonal clothing, or sufficient hydration) or who appears physically unable to safely complete the tour's specific trail rating. In such cases, to protect the well-being of the group and the integrity of the tour, the booking will be treated as a "last-minute cancellation" and will not be eligible for a refund or credit.
